Deals in HubSpot and Pipedrive
Proposals on deals in your CRM. What Propozit sends, how to set it up, picking the deal and what to do when an update fails.

Coming soon. Deals in HubSpot and Pipedrive aren't switched on yet, so you can't set them up. This article describes how it will work.
When an organization has HubSpot or Pipedrive set up, Propozit puts each proposal on a deal there. It works on every plan, Free included. An organization uses one CRM at a time.
What happens
Propozit updates the deal at three moments:
- Sent. The first time you email a proposal, Propozit uses the deal you picked in Send. Without a pick, it looks for open deals in your pipeline for the client's contact, then for their company. One deal: it uses that one. None: it adds a deal at your stage for a sent proposal. Several: it asks you to choose. A deal that already existed moves to that stage only from an earlier one. Sending again, or a new version, changes nothing.
- Signed. When everyone has signed, and you too if you countersign, the deal is marked won with the signed amount.
- Declined. When your client declines, the deal is marked lost with their reason. If they sign a later version, it is marked won again.
Copying the client link isn't an email send. Then the deal is found or added when the proposal is signed or declined.
Each update adds a short note to the deal with a link to the proposal in Propozit. After signing, the note also links the signed PDF, which only people in your team can open after signing in.
The deal amount is the signed one-off total without VAT, in the proposal's currency. Monthly and yearly fees go in the note, never into the amount. A proposal with only recurring fees uses the first year of them, and the note says so.
If your CRM doesn't have the proposal's currency, Propozit leaves the amount alone and says why in the note. It never converts currencies.
What is sent
Only what the deal needs: the contact's email and name (and job title in HubSpot), the company's name (and website domain in HubSpot), the proposal's title, the stage or status, the amount and currency, the close date, the reason for declining, and the notes.
Never signatures, network addresses, the client link, the PDF itself, price lines, the slides or bank details. Propozit never deletes anything in your CRM, and nothing comes back from it. The privacy page has the details.
Set it up
Owners and admins open Settings → CRM.
Check reads the pipelines again and tells you if a stage is gone. The last five updates are listed under Recent updates.
Pick the deal when you send
In Send, the CRM deal row shows Find or create a deal. It names the deal it will use when there is exactly one.
To use another deal, choose Pick an existing deal and type at least two letters of its name. Your open deals are listed with their stage and amount. Use the arrow keys and Enter, or select one.
A proposal already on a deal shows On deal with Change. You can also change it later in Activity, under More in the editor. Any member who can send can pick a deal.
When something goes wrong
Activity shows each update, with Open in your CRM once it is done.
- Choose a deal… (or a contact or company) appears when several match. Pick one, or Create a new deal.
- Retry sends a failed update again.
- When Activity says to sign in again, an owner or admin does it in Settings → CRM. Updates wait until then, and owners and admins get one email about it.
Your CRM's own message shows to owners and admins.
Disconnect or uninstall
Select Disconnect in Settings → CRM. Propozit forgets the sign-in at once and stops updating deals. Deals, contacts and notes already in your CRM stay there.
If your organization tried a CRM early, before it was open to everyone, the end of that early access doesn't disconnect it. Only Disconnect does.
