Propozit can post a short message to one Slack channel of your choice when a client opens, signs or declines a proposal, or asks for a change. It is on every plan, and owners and admins set it up.

It works with a Slack Incoming Webhook: an address Slack gives you for one channel. There is no Add to Slack button or Propozit app in the Slack directory yet, so you make the webhook in Slack yourself and paste it here. That takes a few minutes.

Make a webhook in Slack

Ask a Slack admin if you can't add apps to your workspace.

  1. Go to api.slack.com/apps and select Create New App, then From scratch. Name it, for example, "Propozit updates", and pick your workspace.
  2. Under Features, select Incoming Webhooks and switch Activate Incoming Webhooks on.
  3. Select Add New Webhook to Workspace, pick the channel, and select Allow.
  4. Copy the Webhook URL. It starts with https://hooks.slack.com/services/.

Slack's own guide is at Sending messages using incoming webhooks.

Add it in Propozit

  1. Open Settings → API and webhooks.
  2. Under Slack, paste the Webhook URL and select Post updates to Slack.
  3. Select Send test message. It appears in the channel within a few seconds.

Propozit only takes a URL on hooks.slack.com/services/. It keeps the URL encrypted and never shows it again: Settings shows Connected, ending … with its last four characters. Anyone with the URL can post to the channel, so treat it like a password.

Choose the updates

All four start on. Untick one and select Save to stop it:

  • Opened: the first time a client opens each version of a proposal, not every visit. Publish a new version and its first open posts again.
  • Signed: when the proposal is fully signed. With several signers or your countersignature, that is when the last signature is in.
  • Declined: when a client declines.
  • Change requested: when a client asks for a change.

Each message names the client company and the proposal, with a link to the proposal in Propozit. It never includes an email address, a signature, the client's message or reason, or prices. Anyone in the channel sees it, so pick a channel for your team.

Messages are in your organization's proposal language: English, Dutch, French or German. Thai and Spanish organizations get English messages for now.

If Slack stops posting

Slack refuses messages when the channel is archived or deleted, or the webhook or its app is removed. Propozit then stops posting, drops the waiting messages and shows Not posting in Settings, with Slack's answer. It doesn't keep trying.

To fix it, make a new webhook in Slack and select Replace to paste its URL; your choice of updates stays. If Slack was only briefly down, Send test message checks it again, and when the test gets through, posting starts again.

When Slack is busy or down for a moment, Propozit tries again later, as it does for webhooks. Each update is posted once.

To change or stop:

  • Replace puts in a new URL, for another channel.
  • Remove stops posting and deletes the saved URL.

One organization posts to one channel. To post to more channels or your own tools, use webhooks with a service of your own in between.
