Payment plans, VAT and the checks before you send
Payment plans and the default, editing a plan for one proposal, due days and extra work, VAT rates, how you speak to clients, and the checks.
Updated
On this page
Your client decides how to pay for the project, within the plans you offer. Propozit writes the payment lines of the proposal from a few fields, adds VAT at the rate you pick, and checks the deck before you send it.
Offer payment plans
Payment plans live in Price list → Deals. On an empty list, an admin selects Add the standard plans. It adds four plans, named in your default proposal language:
- Pay upfront: everything on signing, 5% off;
- 50/50: half at the start, half at delivery;
- Three milestones: 30% at the start, 40% at a milestone and 30% at delivery;
- Monthly instalments: three monthly payments, 5% more.
A plan is a set of parts that add up to 100%, plus an optional discount or surcharge. A surcharge always shows as "+5%", never as a discount.
In the steps, open Payment & terms. Under How can the client pay?, switch on up to four plans. New proposals of a fixed package, a fixed-price project or an audit start with some of the standard plans switched on, 50/50 first, once your price list has them. Each card shows what the client pays and when. With two or more plans on, pick the Default: the plan the deck opens with.
With no plan on, a new proposal takes its type's schedule: a 50% deposit for a fixed package or an audit, 30/40/30 for a fixed-price project, 30/60/10 for building work, a 30% deposit for a product quote. Change it in the editor, under Proposal discount and payment schedule.
Change a plan for one proposal
Select Edit on a plan's card. The dialog shows its name, the discount or surcharge, and each part: its share and when it is due. The parts must add up to 100%.
- Use in this proposal changes the plan here only. Your price list keeps the original.
- Save as a new plan (admins) adds it to your price list under a new name and switches it on here.
- Add a payment plan (admins) makes a new plan from scratch.
Invoices and extra work
Under Invoices and extra work:
- Payment due (days): 0 to 90. At 0, invoices are due on receipt.
- Extra work: your rate for work outside the scope. Pick an hourly product from your price list, or type a rate per hour or per day and select Use this rate.
Added for you shows the lines the proposal writes from these fields: how the client pays, when invoices are due, the extra-work rate, the VAT and how long the offer is valid. They come first on the terms slide, so you don't need to type them yourself.
What your client sees
On the pricing slide, your client picks a plan and the totals follow. The payment slide shows what is due when for the plan they picked; with two or more plans, it says they can choose on the price page. The agreement and the signed PDF name the plan and say how and when they pay.
VAT
Admins keep up to four VAT rates under Settings → Company, such as your home rate and 0% for a client abroad. A 0% rate can have a short note, such as "Export of services", which the proposal shows. One rate is the default for new proposals. If your country has presets, Use the presets for … fills in its usual rates. Switch on Prices include VAT if your prices already include it.
In Type & client, the first step, pick the rate for this proposal under VAT. The preview and the totals follow as soon as the step is saved. A changed rate reprices the drafts that use it; published versions keep their rate.
Propozit does not give tax advice. Check which rate applies with your accountant.
How you speak to clients
Under Settings → General, How you speak to clients sets the form of address for new proposals in Dutch and German: Usual for the language (je in Dutch, Sie in German), Informal or Formal. It applies to the headings, the template texts and the text the AI writes. French always uses vous.
Getting paid after signing
Your client sees how to pay once they sign: see how.
The checks before you send
Check & send and the editor's Publish and Send dialogs read the deck the way a client would. They point out:
- a project with no project price, only a monthly one;
- a person in a care plan, or a strip card without its hours;
- a team slide whose people differ from the people you priced;
- a length, such as "a 16-week rebuild", that differs from the timeline;
- time-and-materials wording in the terms of a fixed price;
- Dutch or German text that mixes formal and informal address.
Each item links to the place that fixes it. A project with no project price must be fixed before you can send or publish; the others are for you to judge.
