When your client signs a proposal, Propozit shows them how to pay the amount that is due first, for example the deposit. Your client pays you directly. Propozit doesn't handle the money and doesn't check whether a payment arrived.

Set up Payments

Owners and admins open Settings → Payments and fill in what applies:

  • Account holder: the name on the bank account.
  • IBAN: Propozit checks that it is a valid IBAN. It shows the IBAN in groups of four.
  • BIC: optional.
  • Pay link: your own payment page, which must start with https. Use it for a card or iDEAL page from your invoicing or payment provider.
  • PromptPay ID: for baht proposals in Thailand.

A preview shows what your client will see. Members cannot open this page. Without any payment details, nothing changes: your client sees no pay card.

When someone changes the details, every owner and admin gets an email that shows what changed. It shows only the last four characters of an IBAN. That way, a changed account number does not go unnoticed.

What your client sees

Right after signing, the page shows a Pay card:

  • the amount due now (incl. VAT when your proposal has VAT);
  • your account holder, IBAN and BIC, each with a copy button;
  • a payment reference for the instalment, so you can match the payment;
  • a Pay online link, with its address shown, when you added a pay link;
  • I've paid, a button for the client to tell you they paid.

Later instalments are listed as later. Each one has its own reference.

The same details are in the email the client gets after signing, with a See how to pay link back to the page, and in the signed PDF. The email has no QR image.

The QR code

For a proposal in euro and a SEPA IBAN, the card shows a QR code with the amount, the account and the reference filled in. Most Dutch, Belgian and German banking apps can scan it. For a proposal in baht and a PromptPay ID, the QR code is for PromptPay.

For any other currency, your client sees the bank details without a QR code. Use your pay link if you want to offer a way to pay online in that currency.

"I've paid" and "Mark as paid"

They are two different things:

  • I've paid is your client's own word. Your contact gets an email, and the proposal shows Client says they've paid. Nothing is marked paid.
  • Mark as paid is yours. Only your team can mark a payment as paid, when the money is in your account.

Propozit doesn't check payments. You decide.

Payments in the editor and the list

In the editor, select More in the top bar, then Activity. Payments lists each instalment with its amount, reference and status. For each one you can Mark as paid, Mark as unpaid and Request payment. A banner in the editor shows the instalment that is due, with Mark as paid.

The decks list shows Payment due for a signed proposal with an amount waiting, and Paid when everything is marked as paid. A signed proposal whose next instalment is not due yet stays Signed.

Request payment

Request payment emails your client the amount, the details and a See how to pay link. It is for the instalment you pick, while the pay card on the page always shows the earliest one that is not paid yet. So if you request a later instalment first, the email and the page show different amounts. You can send it 3 times a day for each instalment. After that, Propozit says so and you can try again the next day. There are no automatic reminders.

What stays as it was

A signed PDF or email keeps the bank details as they were when it was made. If you change your IBAN later, new emails and the page use the new details, but earlier PDFs and emails don't change. A request you send later uses your current details.

Who sees your bank details

The person who signed sees the card on the page. The signed PDF, which includes your bank details when you set them, can be downloaded by the person who signed and by the people the proposal was shared with. Someone with a public link who didn't sign sees that the proposal is signed, and nothing about how to pay.

Not included

Paying by card inside Propozit, automatic reminders and recurring collection are not part of Propozit. Use your pay link for cards.
